Office Automation Tools
Complete mastery of OpenOffice productivity suite: OpenOffice Calc (Spreadsheets, Formulas, Relative/Absolute Referencing, Functions, AutoFilter & Macros), OpenOffice Writer (Formatting, Styles, Tables & Mail Merge), and OpenOffice Impress (Slide Master, Animations & Transitions).
OpenOffice Calc: Core Architecture
OpenOffice Calc is a powerful open-source spreadsheet application used for data calculations, statistical analysis, pivot reporting, charting, and process automation. The default file extension is .ods (OpenDocument Spreadsheet).
Worksheet Structure
- Rows: Numbered vertically from 1 to 1,048,576.
- Columns: Lettered horizontally from A to AMJ (1,024 columns).
- Active Cell: Selected cell outlined with a thick border.
- Name Box: Displays active cell reference (e.g.,
B3). - Input Line: Displays the actual formula or text of the selected cell.
3 Fundamental Data Types
- 1. Labels (Text): Descriptive headers or words (e.g. "Roll No", "Student Name"). Aligned LEFT by default.
- 2. Values (Numbers): Numeric data (e.g., 98.5, 5000, 12/04/2026). Aligned RIGHT by default.
- 3. Formulas: Mathematical expressions starting with an equal sign (=).
Operator Precedence
Order of mathematical evaluation:
Equal precedence evaluated left-to-right.
Cell Referencing Modes (Board Favorite)
Reference is relative to the position of the formula cell. When copied to another row or column, the cell references automatically shift proportionally.
=A1+B1 in cell C1 is copied to cell C2, it automatically becomes =A2+B2.Dollar sign ($) is placed before both column letter and row number to fix/lock the exact cell. It never shifts when copied.
Only one coordinate is fixed with a dollar sign while the other remains relative.
A$1: Row 1 is locked, column changes.
Built-in OpenOffice Calc Functions
| Function & Syntax | Description | Sample Expression | Output |
|---|---|---|---|
| SUM(range) | Adds all numbers in the specified cell range | =SUM(10, 20, 30) | 60 |
| PRODUCT(range) | Multiplies all numbers in the specified range | =PRODUCT(2, 5, 10) | 100 |
| AVERAGE(range) | Calculates arithmetic mean of values | =AVERAGE(40, 60, 80) | 60 |
| SQRT(number) | Returns the positive square root of a number | =SQRT(625) | 25 |
| POWER(base, exp) | Raises base to the power of exponent | =POWER(5, 3) | 125 |
| ROUND(num, digits) | Rounds number to specified decimal places | =ROUND(12.3456, 2) | 12.35 |
| IF(condition, true, false) | Conditional logic returning true or false value | =IF(A1>=33, "Pass", "Fail") | Pass (if A1=50) |
| QUOTIENT(num, den) | Returns integer portion of a division | =QUOTIENT(17, 5) | 3 |
| MOD(num, divisor) | Returns the remainder of a division | =MOD(17, 5) | 2 |
| RANDBETWEEN(min, max) | Generates random integer between boundaries | =RANDBETWEEN(1, 100) | Integer in [1, 100] |
Sorting & Filtering
AutoFilter: Inserts dropdown filter arrows in table column headers (Data > Filter > AutoFilter).
Standard Filter: Allows complex multi-condition filtering with logical operators (AND/OR) across multiple columns simultaneously.
Chart Wizard (4 Steps)
- Chart Type: Column, Bar, Pie, Line, Area, XY Scatter.
- Data Range: Specifies range including row/column labels.
- Data Series: Customizes series arrangement.
- Chart Elements: Sets Title, Subtitle, X-Axis, Y-Axis, and Legend location.
Macro Recording
Enables automation of repetitive formatting steps:
- Click
Tools > Macros > Record Macro. - Execute actions (e.g. apply cell fill color & font).
- Click Stop Recording.
- Save in
My Macros > Standard > Module1. - Run anytime via
Tools > Macros > Run Macro.
